How to sync tasks with Google Calendar: an iTasker guide

Meetings show up in Google Calendar, while tasks sit in a separate list. It's easy to book another call into a slot that looks free, even though you promised to send the client a proposal by then.
iTasker's integration sends tasks that have a date and time to a separate Google calendar, so they appear beside your meetings. First it helps to know which records will appear there and where to change them.

Keep working on the task in iTasker and look at its event beside your meetings in Google Calendar. Sync needs a date, a specific time, a time zone and a selected task source.
iTasker events and Google Tasks
Google Calendar has its own Google Tasks. According to Google's help page, dated tasks show up in the calendar and are managed through the Tasks tools.
iTasker's integration works differently: it creates calendar events from iTasker task data. These events live in a dedicated calendar and do not become Google Tasks.

Changes flow from iTasker to the calendar, not the other way. If you move an event by hand in Google, the deadline in the card doesn't change. A task completed in iTasker stops being an active event.
What to prepare
Decide which Google account should hold the iTasker calendar if you have several.
The test task needs a date and a specific time: a date alone isn't enough for the integration. Set the time zone of your personal workspace explicitly, and for a team project check it in the project settings.
Don't give every task a time for the sake of a tidy calendar. "Update the portfolio someday" has no slot; leave it in the inbox until you pick a moment.
Step 1. Connect your Google account
Open iTasker account settings and the Google Calendar section. Start connecting, choose the account and confirm the permissions.
Go back to iTasker and check which account is shown. If Google is connected but the dedicated calendar doesn't exist yet, create the iTasker calendar with the action in the same settings: a connected account and an existing calendar are two different states.
Step 2. Choose task sources
In the settings, turn on personal tasks and, if needed, the team projects you take part in. Don't enable every project: the calendar fills up with work you don't need for planning.
Team sync depends on the paid plan of the project's organization, and an individual's personal subscription doesn't replace it. If a selected project doesn't sync, check the plan and settings of that organization.
Step 3. Test with one task
Take a simple task with a future date and time and run a manual sync in the Google Calendar settings. Then open Google Calendar under the connected account, find the iTasker calendar in the list and turn it on. Check the title, date and hours of the event.
The event takes one hour before the task's deadline: for a 15:00 deadline you'll see a 14:00–15:00 block. This is the integration's standard interval, not an effort estimate, since the task could take ten minutes or a whole day. So compare the deadline with the event's end time.
Now change the task's time in iTasker, sync again and make sure the event moved. Only then send the rest of your queue to the calendar.
If the event is missing
Go from the simplest check to the most involved:
- Is Google open under the same account that's connected in iTasker?
- Does the iTasker calendar exist, and is it turned on?
- Is the right source selected: personal tasks or the specific project?
- Does the task have both a date and a time?
- Is the time zone of the workspace or project correct?
- Does the organization's plan allow sync for this team project?
- What status does manual sync show?
If Google access was revoked or the calendar deleted, reconnect or create the calendar again. Don't create duplicate tasks for testing; restore the setup on a single record first.
Why the event shows at a different hour
Compare iTasker's time zone with the one Google uses to display time. If you're travelling, the same event appears in another region's local time while the task's deadline stays the same.
In a team, agree on which time zone deadlines use: "tomorrow at ten" is especially awkward for distributed teams without it. Write important deadlines with a date, a time and a zone.
What the calendar doesn't do for you
A calendar helps compare tasks with meetings, but it doesn't pick priorities or estimate how long work takes. A "by 4 pm" deadline doesn't reserve two hours for preparation; that time has to be set aside separately. The article on planning your workday covers how.
